The Student Services Officer role at Learning Sphere Training Solutions is an administrative position within a Registered Training Organisation (RTO), responsible for managing the full student lifecycle from enrolment to completion. Day-to-day tasks include processing enrolments, unit outcomes, certificates, and cancellations; following up on missing documentation; maintaining records in a Student Management System (Axcelerate preferred) and CRM; and handling student and client enquiries by phone and email. The role also provides general admin and reception support and coordinates with Trainers, Program Leads, and Compliance staff on training logistics. Candidates must have a minimum of three years in RTO administration, strong attention to detail, solid time management, and proficiency in Microsoft Office. A Working With Children Check is mandatory.

Learning Sphere Training Solutions is seeking a highly organised and detail-focused Student Services Officer to support the delivery of high-quality training and compliant student administration across the learner lifecycle.

This role is ideal for someone with strong RTO administration experience who enjoys working in a fast-paced environment and takes pride in accuracy, compliance, and customer service.

About the Role

You will support student administration processes from enrolment through to completion while ensuring compliance with national training standards, funding requirements, and internal policies.

Key responsibilities include:

  • Processing enrolments, unit outcomes, completions, cancellations, and certificate issuance
  • Following up missing enrolment documentation and eligibility evidence
  • Maintaining accurate student records in the Student Management System and CRM
  • Supporting compliance and regulatory reporting requirements
  • Responding to student and client enquiries via phone and email
  • Providing general administration and reception support
  • Assisting Trainers, Program Leads, and Compliance teams with training logistics and resources

About You

To be successful, you will have:

  • Minimum 3 years' experience in RTO administration or a similar role
  • Strong attention to detail and time management skills
  • Excellent communication and customer service skills
  • Experience with student management systems (Axcelerate preferred) and Microsoft Office
  • Ability to manage competing priorities and meet deadlines
  • NSW Smart and Skilled experience (desirable)
  • Working With Children Check (essential)
